Setting up an agenda

The agenda is the person or place that offers the service requested by the customer. That is to say, an agenda can be anything from an employee, a room, a massage cabin to a tennis court, for example. The correct configuration of the agendas is essential for the customer’s booking process to be carried out satisfactorily.

To start configuring the agendas, access My Agendas from the Bookitit Control Panel. From here you will see a list of all the agendas you have previously created. At the top of the page you will see two buttons: “New Agenda” and “Categories”. Let’s go to Categories first.

The Categories will be the fields that define the task of each agenda. For example, in the case of a beauty salon, there could be categories such as Makeup, Skin Treatments, Manicure, etc. Create all the categories in which your agendas are specialized and return to the list of agendas. The categories are just a way to visually organize the schedules in our appointment calendar.

To create a new agenda, click on the “New Agenda” button and you will be directed to a new page.

Here you can enter basic information, such as name, e-mail, telephone (where the agenda will receive notifications of appointments) or a photograph.

If you want this address book to receive appointment notifications in several e-mails, you can put several e-mails separating them with a semicolon (;). Under the phone box you will see a box where you can select the category to which the address book belongs.

In the Booking Calendar, the agendas associated with the categories will appear, so that there is greater organization.

Next, associate the services to the agenda. That is, check the boxes of the services that the agenda you are creating will take care of. If, for example, it is an employee, assign only the services he/she offers from the whole list.

If you go back to the list of agendas, you will see that your new agenda has been added to the list. Create as many agendas as you need and proceed to a more advanced configuration of the agendas.

Each agenda will have seven actions on the right hand side, each represented by an icon. The first icon corresponds to editing. The second icon corresponds to notifications, the third to holidays, the fourth to settings, the fifth to the schedule, the sixth to importing an .ics file and the seventh to deleting the agenda.

All these actions are independent by agenda.

As for editing, you will see the same page as in the creation of the agenda with some additions. Below the email, you will see a button, which, if you have previously configured the independent schedule of this agenda, will read: This agenda can receive online appointments.

However, if you have not yet configured the schedule for this agenda, it will be set: Online appointment is not enabled. To find out how to configure the independent timetable for each diary, access the following tutorial.
